Official vehicle rental policies, insurance details, and customer guidelines of HBS Rent a Car Sri Lanka.
Please review these Terms and Conditions carefully. When reserving a vehicle with HBS Rent a Car Sri Lanka (Pvt) Ltd, you agree to comply with the standard operating policies outlined below.
1. Vehicle Hire & Eligibility
- Vehicles are hired subject to availability and formal reservation confirmation.
- The driver must be at least 21 years of age and hold a valid national driving license with at least 1-2 years of driving experience.
- Foreign nationals must hold a valid International Driving Permit (IDP) or obtain a temporary driving endorsement from the Automobile Association of Ceylon (AAC).
2. Rental Payments & Security Deposit
- All rental charges must be settled prior to or upon vehicle handover as specified in your rental agreement.
- A refundable security deposit is required and is returned upon safe vehicle return inspection.
- Standard rates include 100 km per day. Additional mileage beyond the allowance will be billed at the standard excess kilometre rate.
- Fuel policy operates on full-to-full or same-level return.
3. Insurance Coverage & Accidents
- All HBS Rent a Car vehicles are comprehensively insured with genuine commercial rent-a-car coverage.
- In the unfortunate event of an accident or incident, notify HBS Rent a Car and local police immediately.
- A standard insurance excess applies and must be borne by the hirer as specified in the agreement.
- Insurance coverage is void if the driver is unlicensed, intoxicated, or engaging in gross negligence.
4. Authorized Vehicle Use
- Only individuals named as authorized drivers in the rental agreement are permitted to drive.
- Prohibited uses include racing, off-road rallying, towing other vehicles, transporting hazardous goods, or illegal commercial activities.
- Smoking and transporting uncontrolled domestic animals inside vehicles is strictly prohibited.
- Extra drivers can be registered in advance upon presentation of valid licenses.
5. Routine Maintenance & Inspection
- The hirer is responsible for daily routine checks (engine coolant, engine oil level, tyre pressures).
- Official mechanical servicing is carried out by HBS Rent a Car or our authorized islandwide service centers.
- Any mechanical warning lights or unusual noises must be immediately reported to HBS customer support.
6. Hirer Liabilities & Responsibilities
- The hirer is solely responsible for any traffic violations, speeding tickets, parking fines, or expressway toll charges incurred during the hire.
- Physical damage to tyres, rims, undercarriage, vehicle keys, or interior tears caused by misuse will be charged at standard replacement cost.
- Early termination refunds are assessed according to the cancellation policy terms.
7. 24/7 Breakdown & Replacement Policy
- In the unlikely event of an unexpected mechanical breakdown, notify HBS 24/7 emergency dispatch immediately.
- If roadside repair cannot be completed promptly, an equivalent replacement vehicle will be provided subject to location and availability.
8. Agreement Termination
- HBS Rent a Car reserves the right to terminate the rental agreement and repossess the vehicle without refund if terms are breached, illegal activity occurs, or the vehicle is operated dangerously.
9. Governing Law & Dispute Jurisdiction
- All rental agreements are executed under the laws of the Democratic Socialist Republic of Sri Lanka.
- Any legal disputes arising shall fall under the competent legal jurisdiction of the courts of Sri Lanka.
